SiteAgent ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI chatbot platform ("Service").

By using the Service, you consent to the practices described in this policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, and password. If you sign up through a third-party provider (e.g., Google OAuth), we receive your name and email from that provider.

2.2 Payment Information

Payment processing is handled by third-party processors such as Razorpay and Stripe. We do not store your full card number, CVV, or other sensitive payment details on our servers. These processors may collect and store payment information according to their own privacy policies.

2.3 Chatbot and Knowledge Base Data

We store the content you provide to train your chatbots, including URLs, uploaded documents, and manual text entries. This data is used solely to power your chatbot responses.

2.4 Conversation Data

We store conversations between your chatbot and your website visitors. This includes message content, timestamps, and visitor session identifiers. Conversation data is used to provide analytics, lead scoring, and the conversation history features of the Service.

2.5 Widget and Analytics Data

When a visitor interacts with your embedded chat widget, we may collect:

  • Page URL where the widget is embedded
  • Browser type and version
  • Device type
  • Approximate geographic location (country/region, derived from IP address)
  • Session duration and interaction timestamps

We do not use this data to personally identify individual visitors unless they voluntarily provide personal information through the chat widget or lead forms.

2.6 API Keys

If you use the BYOK (Bring Your Own Key) feature, we store your AI provider API keys in encrypted form. These keys are used exclusively to process chatbot conversations on your behalf and are never shared with third parties.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process your transactions and manage your subscription
  • Power AI chatbot conversations using your knowledge base data
  • Generate analytics, lead scores, and conversation summaries
  • Send transactional emails (verification, password reset, billing receipts)
  • Send notification emails (lead alerts, daily digests) based on your preferences
  • Improve and develop new features for the Service
  • Detect and prevent fraud, abuse, or security incidents

4. Third-Party Services

We use the following third-party services to operate the platform:

  • Razorpay / Stripe — Payment processing and subscription management
  • AI Providers (OpenAI, Anthropic, Google, Groq, Cerebras, OpenRouter) — Processing chatbot conversations using your API keys or our platform keys
  • Vercel — Hosting and deployment
  • Email Services — Sending transactional and notification emails

Each third-party service has its own privacy policy governing their use of data. We encourage you to review their respective policies.

5. Cookies and Tracking

We use cookies and similar technologies to:

  • Essential cookies: Maintain your login session and preferences
  • Analytics cookies: Understand how users interact with the Service to improve it
  • Widget session cookies: Track chat widget sessions on your visitors' browsers to maintain conversation continuity

You can manage cookie preferences through your browser settings. Disabling essential cookies may prevent you from using certain features of the Service.

6. Data Retention

We retain your account data for as long as your account is active. Conversation data and analytics are retained for the duration of your subscription. Upon account deletion, we will delete your personal data within 30 days, except where retention is required by law.

7. Data Security

We implement industry-standard security measures to protect your data, including encryption in transit (TLS) and at rest, secure API key storage, and access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Rectification: Request correction of inaccurate personal data
  • Erasure: Request deletion of your personal data ("right to be forgotten")
  • Portability: Request a machine-readable copy of your data
  • Restriction: Request that we limit processing of your data
  • Objection: Object to processing of your data for certain purposes

9. Website Visitor Privacy (For Our Customers)

If you embed the SiteAgent chat widget on your website, you act as the data controller for your visitors' data. You are responsible for:

  • Informing your visitors that a chatbot is in use and that conversations may be recorded
  • Including appropriate disclosures in your own privacy policy
  • Obtaining any required consent from your visitors under applicable laws (e.g., GDPR, CCPA)
  • Responding to data access or deletion requests from your visitors

SiteAgent acts as a data processor on your behalf when handling your visitors' conversation data.

10. Children's Privacy

The Service is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service and updating the "Last updated" date. Continued use of the Service after changes constitutes acceptance.
